Separate the charges
Ask whether diagnosis, labor, parts, equipment removal and permits are included. Confirm any additional charges before authorizing work.
Compare like for like
For replacement proposals, compare equipment specifications, included work and warranty terms. A lower headline amount may describe a different scope.
Keep the agreement
Retain the written estimate and invoice. Verify the provider's license and insurance where required before arranging work.
Use the same brief for each provider
Share the same description of the problem, rooms affected, equipment and proposed project with everyone you ask. Otherwise, one quote may address an immediate repair while another includes broader improvements. Request that optional additions are shown separately. Note any assumptions, such as retaining the existing ducts or using the current electrical supply, so you can ask what happens if those assumptions change.
Build a comparison you can actually use
Create columns for equipment, diagnostic work, installation or repair labor, controls, removal, permits where required, warranty and exclusions. Mark each item as included, excluded or unclear. Send questions about unclear items to the provider before you choose. This approach helps you compare the work without pretending that a website can calculate the correct price from a city name or home size alone.
Resolve changes and handover
Ask who approves additional work, how price changes are documented and what payment schedule the written agreement uses. Clarify the expected start and completion arrangements with the provider. At handover, request the invoice, model information, operating guidance and warranty documents that apply. Keep the final agreement alongside the original proposal so differences are visible if a question arises later.
